Receivables

What customers owe you, the payments you receive, advances, credit notes and statements. Find it under Sales > Receivables.

On this page

  • Outstanding
  • Record a payment
  • Advances
  • Credit notes
  • Invoices with payments
  • Payment and credit note history

Outstanding

  • The top shows the total owed, how much is overdue, what is due in the next 7 days, and what you received this month.
  • The aging bar splits what is owed into not yet due, 1–30, 31–60, 61–90 and over 90 days overdue.
  • By customer lists each customer's aging with Statement and Record payment. By invoice lists open invoices, oldest due first.
  • Customer advances lists money paid ahead that isn't applied yet.

Balance due is the invoice total, less payments received, less credit notes.

Record a payment

  1. 1Step 1: Open the saved invoice and choose Record payment. The amount starts at the full balance.
  2. 2Step 2: Enter less to record a part payment; the invoice then shows Part paid and the balance due.
  3. 3Step 3: Enter the date, the method (cash, UPI, bank transfer, cheque, card or other) and a reference such as the UTR or cheque number.
  4. 4Step 4: Choose Save payment.

To take one payment for several invoices, use Record payment in Receivables or on the customer's page. Biththi applies it to the oldest invoices first, and you can change how much goes to each.

  • Payments have their own number series and are listed under Payments received.
  • A payment can be edited or deleted. Deleting it makes its invoices unpaid or part paid again.

Advances

A customer can pay before the invoice exists, for example a deposit on an order. Record the payment with no invoice, or for more than they owe, and the rest is kept as an advance.

  1. 1Step 1: Record the payment for the customer. The customer must be in your customer list.
  2. 2Step 2: When you save their next invoice, choose Apply advance on it.
  3. 3Step 3: Biththi uses the oldest advance first. Change the amounts if you need to, then choose Apply advance.

Advances show under Customer advances, on the customer's page, on their statement, and in Payments received with the Advance filter. The dashboard reminds you of advances waiting to be applied.

Credit notes

A credit note reduces what a customer owes on a saved invoice: for returned goods, a price correction, a deficiency or another reason. It is how you correct a saved invoice.

  1. 1Step 1: Open the saved invoice and choose Issue credit note.
  2. 2Step 2: Pick the reason.
  3. 3Step 3: Enter the quantity to credit on each line. The value is worked out from the line's price after discount; lower it for a price correction.
  4. 4Step 4: For returned goods, leave Put returned items back in stock ticked to add them back to stock.
  5. 5Step 5: Save. GST is added the way the invoice charged it.
  • You can't credit more than is left on a line or on the invoice.
  • Credit notes have their own number series, print like an invoice, and are listed under Credit notes.
  • A credit note can't be edited. It can be deleted only when Settings > Invoice allows deleting saved invoices, and not if the returned goods have been sold again.
  • If the invoice was already paid, the customer is left in credit.

Invoices with payments

  • An invoice with payments or credit notes can't be deleted, changed back to a draft, or moved to another customer.
  • Its total can't be edited below what was already received and credited. Issue a credit note instead.

Payment and credit note history

Growth plan: On Growth, the history button next to a payment's or credit note's title shows who recorded, edited or deleted the payment and who issued the credit note, with what changed.
