Customers

Keep each customer's contact, address and tax details, and see what they have bought and what they owe.

  • Renaming and deleting

Add a customer

  1. 1Step 1: Go to Sales > Customers and choose + New (on a phone, New > Customer).
  2. 2Step 2: Choose Individual or Business.
  3. 3Step 3: Enter the name, the billing street address and the billing phone. These three are required.
  4. 4Step 4: Fill in anything else you need, then choose Save.
FieldWhat it's for
Billing and shipping addressCountry, street, city, state, pin code, phone and fax. Copy billing address fills the shipping address in one click. Country starts as India.
StatePick from the list of states and union territories, or type your own. The state helps decide the place of supply.
GSTINChecked as you type. Prints on the customer's invoices, helps set the place of supply, and marks their sales as B2B in the GST reports.
Contact personName and role of the person you deal with.
PAN, tax status, tagsPAN is stored in capitals. Tax status is Taxable or Tax Exempt. Tags are comma-separated words for grouping.
NotesAnything else worth remembering.

Import and export customers

  1. 1Step 1: Go to Sales > Customers and choose Import.
  2. 2Step 2: Choose Download template, fill it in Excel or Google Sheets, and save it as CSV (in Excel: File > Save As > CSV UTF-8). Name, Phone and Address line 1 are required.
  3. 3Step 3: Choose the file. Biththi checks every row and shows what is ready and what each problem row needs: a 10-digit phone, a valid GSTIN or PAN, a 6-digit pin code, a known state.
  4. 4Step 4: Choose Import. The ready rows are added; rows with problems are skipped. Rows with problems downloads them with an Errors column, to fix and import again.
  • Phone numbers written as +91 98765 43210 or 098765 43210 are saved as 9876543210.
  • With a GSTIN, the state, PAN and Business type are filled in from it.
  • A customer with the same name and phone as one you have is skipped, so importing a file twice adds nothing.
  • Export (Growth plan) saves the customers the list is showing, after any search or filters, in the same columns, so you can edit them in Excel. Import is free on every plan.

The customer page

  • Overview shows the customer's details read-only, with Edit, Delete and Statement.
  • Estimates lists the customer's estimates.
  • Invoices shows what the customer owes, how much is overdue and any credit or advance, with Record payment, Statement and New Invoice (the customer is already filled in). When nothing is due, Record payment becomes Record advance for money paid ahead.

Statement of account

  1. 1Step 1: Open the customer and choose Statement.
  2. 2Step 2: Pick the period: this financial year, last financial year, all time, or your own dates.
  3. 3Step 3: Choose Save as PDF to print it or save it and send it to the customer.

The statement starts with the opening balance, lists every invoice, payment and credit note with a running balance, and ends with the balance due, or the customer's credit. Below, it lists open invoices and how overdue each one is.

Renaming and deleting

  • Renaming a customer keeps all their invoices, estimates and payments attached. Old invoices keep the name they were printed with.
  • A customer with invoices, estimates or payments can't be deleted. Biththi tells you how many documents are in the way.

Related

  • InvoicesCreate GST invoices, keep drafts, save the final invoice, and print or share it.
  • ReceivablesWhat customers owe you, the payments you receive, advances, credit notes and statements. Find it under Sales > Receivables.
  • EstimatesQuote a price before you bill. Estimates use the same lines as invoices but have their own numbers and never change stock.
