User guide › Sell
Items and inventory
The catalog of products and services you sell and buy, and how stock goes up and down.
Add an item
- Step 1: Go to Items and choose + New.
- Step 2: Choose Product or Service.
- Step 3: Enter the name, unit and selling price, and the GST rate (type it or pick 0, 3, 5, 12, 18 or 28%).
- Step 4: Add the HSN code (products) or SAC code (services), MRP, purchase cost and SKU if you use them.
- Step 5: For a product, enter the stock you have now and a reorder level.
- Step 6: Choose Save Item.
| Field | What it's for |
|---|---|
| HSN / SAC | Optional. When entered, a product's HSN must be 4, 6 or 8 digits and a service's SAC 6 digits. Prints on invoices and feeds the HSN/SAC summary. |
| Purchase cost | What you pay for it. Used for the estimated margin in Reports and the stock value in the stock summary. |
| SKU | Your own code. Searchable, and an invoice's Scan item finds items by it. |
| Unit | From the units in Settings > General. Invoices show its short symbol. |
You can also create an item while writing an invoice: choose Create new item in a line's item list. Biththi offers to save your invoice as a draft first.
Import and export items
- Step 1: Go to Items and choose Import.
- Step 2: Choose Download template and fill it in: Name and Selling price are required (jewellery items priced by weight can leave the price empty). Save it as CSV.
- Step 3: Choose the file. Biththi checks every row: the unit must be one of yours, HSN 4, 6 or 8 digits, SAC 6 digits, GST from 0 to 28%, and amounts must be numbers.
- Step 4: Choose Import. Ready rows are added and each product's Opening stock is recorded as opening stock. Rows with problems downloads the rest to fix.
- Type, Unit and GST rate can be left empty: Product, your default unit and your default GST rate are used.
- An item with the same name as one you have is skipped.
- Jewellery businesses get extra columns: Pricing (By weight or Flat rate), Metal, Purity, Gross and Stone weight, Metal rate, Wastage %, Making charge type and amount, Hallmark number, HUID (6 letters and digits) and Tag number, which must not already be on another item. As on the item form, these details are kept only for items priced by weight.
- Export (Growth plan) saves the items the list is showing in the same columns, so a file can go to Excel and back. Import is free on every plan.
How stock changes
| What happens | Effect on stock |
|---|---|
| Save a purchase bill with a product line | Adds the quantity |
| Save an invoice with a product line | Takes the quantity away |
| Issue a credit note with Put returned items back in stock | Adds the returned quantity back |
| Delete a credit note that returned goods | Takes the goods back out (refused if they have been sold again) |
| Correct stock by hand | Sets the new quantity, with a reason |
| Drafts, estimates, services, typed one-off lines | No change |
Biththi won't save anything that would take stock below zero.
Correct stock by hand
- Step 1: Open the item and choose Edit.
- Step 2: Change the stock quantity and save.
- Step 3: Pick the reason: stock count correction, damaged, lost or stolen, used in business, opening stock, or other, and add a note if you like.
The change and its reason are kept in the item's history. A new item's starting stock is recorded as opening stock.
Low stock
A product at or below its reorder level shows under Low stock in the dashboard's Needs your attention list. Filter the Items list by stock to see them all, or download the stock summary.
